This Privacy Policy explains how we collect, use, share, and protect your personal information when you use the NotaryPing mobile applications (iOS and Android) and website. By using NotaryPing, you agree to the terms of this Privacy Policy.

Location Data Collection and Use

This is the most important section for understanding how NotaryPing uses your location.

What Location Data We Collect

  • âś… Precise Location: We collect precise location data (GPS coordinates accurate to within a few meters) from your device.
  • âś… Background Location: We collect location data even when the app is not actively open or in use, provided you have granted us permission.

When We Collect Location

  • When you open the app and use our services
  • In the background when you have an active notary request or ongoing service
  • Continuously during an active notary session to provide real-time tracking

Why We Need Background + Precise Location

  • Core Functionality: Location is essential to match you with nearby available notaries in real-time.
  • Real-Time Tracking: Allows you to see your notary's location and estimated arrival time.
  • Service Coordination: Enables the notary to navigate to your location.
  • Service Verification: Confirms the notary arrived at the correct location.
  • Background Collection Necessity: We collect location in the background during active requests so you can receive updates and track your notary even when using other apps or when your screen is off.

What We DO NOT Use Location For

  • ❌ We do NOT use location for advertising or marketing purposes
  • ❌ We do NOT sell your location data to third parties
  • ❌ We do NOT track your location for purposes unrelated to service delivery
  • ❌ We do NOT create location history profiles beyond active service sessions

Location Data Sharing

  • Your location is shared with your matched notary only during an active service session
  • The notary can see your location to navigate to you
  • You can see the notary's location during service
  • Location data is NOT shared with other users, advertisers, or data brokers
  • Location data may be processed by our service providers (Google Maps, Apple MapKit) solely for mapping and navigation functionality

Location Data Retention

  • Location data is deleted after job completion
  • We do not maintain a historical database of your location movements
  • Only temporary location data needed for active service delivery is retained
  • Once the notary service is complete, precise location data is removed from our systems

Your Control Over Location

iOS Users: Manage location permissions in Settings → Privacy & Security → Location Services → NotaryPing. Choose “Never” to disable (app functionality will be limited), “While Using” for foreground only, or “Always” for full functionality including background location.

Android Users: Manage location permissions in Settings → Apps → NotaryPing → Permissions → Location. Choose “Don't allow” to disable, “Allow only while using the app” for foreground only, or “Allow all the time” for full functionality.

Impact if Disabled: Without location access, you will not be able to request notary services or be matched with notaries, but you can still browse the app.

Information We Collect

Information You Provide

  • Account Information: Name, email address, phone number
  • Profile Information: User preferences, service history
  • Identification Documents: Documents uploaded for notary verification purposes
  • Communication Data: Messages sent through in-app chat, customer support inquiries
  • User Content: Job notes, service requests, feedback

Information Collected Automatically

  • Device Information: Device ID, device model, operating system, browser type, mobile network information
  • Usage Data: App features used, pages viewed, time spent, interaction patterns
  • Log Data: IP address, access times, error logs, crash reports

How We Share Your Information

With Matched Notaries (During Active Service Only)

  • Your name and location are shared with your matched notary to facilitate service delivery
  • Communication within the app between you and the notary
  • Service-specific details needed to complete the notarization

With Service Providers

  • Cloud Hosting: Secure data storage and app infrastructure
  • Mapping Services: Google Maps (Android) and Apple MapKit (iOS) for location, navigation, and distance calculations
  • Analytics Providers: Firebase Analytics for app performance and usage insights
  • Communication Tools: For in-app messaging and notifications
  • Customer Support: Tools to provide user assistance

All service providers are contractually obligated to protect your data and use it only for specified purposes.

For Legal Reasons

How Long We Keep Your Data

  • Location Data: Deleted immediately after job completion (not stored long-term)
  • Account Information: Retained while your account is active
  • Communication Data: Retained for customer support purposes (up to 1 year)
  • Usage Data & Logs: Retained for 90 days for troubleshooting and analytics
  • Legal/Compliance Records: Retained as required by law (varies by jurisdiction)

Account Deletion

When you delete your account, your personal data is permanently deleted within 30 days. Some information may be retained in anonymized form for analytics. Legal/compliance records may be retained as required by law.

International Data Transfers

NotaryPing is based in the United States (Atlanta, GA). Your information may be transferred to and processed in the United States. We implement appropriate safeguards for international data transfers. By using NotaryPing, you consent to the transfer of your information to the U.S.

Children's Privacy

NotaryPing is intended for users 18 years of age and older. We do not knowingly collect information from anyone under 18. If we discover that a minor has provided personal information, we will delete it immediately. If you believe a minor has provided us with personal information, contact us at [email protected]. COPPA Compliance: We comply with the Children's Online Privacy Protection Act.
